About this Role:

We are seeking a proactive, organized, and resourceful Office Manager to oversee the day-to-day operations of our office and assist with facility-related tasks. This position will play a key role in maintaining a productive, efficient, and comfortable workplace environment. The Office Manager will be responsible for managing office administration, coordinating office services, and handling facilities maintenance to ensure that the office runs smoothly and is always in optimal condition.

Key Responsibilities:

  • Office Management:

    • Maintain presence at the front desk, greeting visitors and ensuring NDAs are complete upon arrival.

    • Oversee the daily operations of the office, ensuring a clean, organized, and efficient working environment.

    • Serve as the primary point of contact for all office-related inquiries and issues.

    • Manage office supplies inventory, ordering new supplies as needed, and keeping track of office equipment.

    • Coordinate meetings and events, including scheduling, room setup, and catering arrangements.

    • Maintain office equipment and coordinate service requests with vendors as needed.

    • Act as the liaison between the office and external service providers (e.g., cleaning, IT support, etc.).

    • Assist with onboarding new employees, ensuring they have necessary office equipment and materials.

  • Facilities Management:

    • Monitor the office space for general upkeep and maintenance needs (e.g., cleaning, repairs, etc.).

    • Coordinate facility-related tasks such as handling building maintenance, ensuring compliance with safety regulations, and maintaining office cleanliness.

    • Manage relationships with facility vendors, including negotiating contracts, scheduling maintenance, and ensuring services are delivered on time and within budget.

    • Handle basic troubleshooting of office equipment, and coordinate with external repair services when necessary.

    • Ensure the office complies with health and safety standards, and manage any necessary repairs or upgrades to meet these standards.

    • Manage office access control, including issuing badges, keys, and maintaining a visitor log.

  • Additional Responsibilities:

    • Support HR with tasks such as organizing office space for new hires and helping with employee activities.

    • Assist with travel arrangements, expense reports, and other administrative tasks as needed.

    • Contribute to a positive office culture by fostering communication, teamwork, and employee engagement.

Qualifications:

  • Proven experience in office management or administrative roles, with a focus on facilities support a plus.

  • Strong organizational skills and the ability to manage multiple tasks simultaneously.

  • Excellent communication and interpersonal skills.

  • Comfortable working independently and as part of a team.

  • Proficiency with office software and basic IT troubleshooting.

  • Strong problem-solving abilities and attention to detail.

  • Knowledge of basic health and safety regulations is a plus.

  • Experience with managing office facilities and coordinating vendor services.

  • Familiarity with office management software or tools (e.g., Office 365, Google Workspace).

  • Experience handling basic building maintenance or vendor relationships.

Preferred Skills:

  • Naturally organized with strong attention to detail. Whether they’re managing subscriptions to office supplies or an employee’s business trip, they need to have an innate sense of organization so that every detail is addressed.

  • Flexibility. The office manager is taking on a million tasks that no one else in the office has the bandwidth to handle, so it can be a little chaotic. Someone who can be flexible as they’re handling all this will be a better fit than someone who insists on a strict routine.

  • Good with people. Office managers are solving many problems for many people, so they need to be good with people and genuinely like interacting with others.

  • Strong communication skills. There’s so much for office managers to handle, and communicating what they need and meeting everyone else's needs is important.

  • Experience with light maintenance work and ad-hoc solutions

Compensation Range: $65K - $85K
